Switching it on
Off by default, switched on in Settings
Staff do not see a Leave menu until you switch on Show leave to employees in the Settings tab. Once on, they see their own balance and can file requests. While it is off, you can still add leave for them from this tab.
Worth remembering
It is off by default. Switch it on in the Settings tab
If staff say they cannot find a Request Leave button, this is almost always why. Go to Settings, Employee Visibility, and switch on Show leave to employees.
How staff ask
Pick a type, pick the dates, add a reason if they want
On their phone there is a Request Leave button: a leave type, a start and end date, and an optional short reason. Leave is in whole days only, no half days, and nothing is attached.
Once sent, the request waits for you here. There is no instant message; you see an amber count on the menu, and if Evening leave reminder is on in Settings, you get a LINE message at 7 pm whenever requests are still waiting.
Approving
One tap: the days go on the schedule and the person is told
A request card shows the name, type, dates, number of days, reason, and that person's remaining balance. If the request goes over their quota, the number turns red with the word exceeds, but you can still approve. It is a warning, not a block.
When you tap Approve
The schedule
Any shift or day off on those dates is replaced by Leave.
Reminders
Check-in reminders for the replaced shift are cancelled.
LINE
The person gets a Leave Approved card.
Reject touches nothing on the schedule; the person is told it was not approved. To undo an approval, open History, tap Cancel, and choose whether to tell them on LINE.
If someone already checked in on one of those days, the app asks first, because the whole day becomes leave and those hours are no longer counted as worked.
Adding leave yourself
The Add leave page, for leave agreed in person
Pick the person, the type, then either a date range or specific days tapped on a calendar. Today onward only, up to 31 days. Tap Create and notify: it is approved on the spot and the person gets one LINE message listing every date.
Balances
Counted from sent schedules, not from requests
Days used are counted from leave sitting on sent schedules, whether it came from a request or from you. See the whole team's balances on the Reports tab, by year, where you can also enter days used before WorkCo.
- Thailand: five types, Annual, Sick, Personal, Maternity and Other. Quotas come from the person's contract, or the legal defaults when there is none: 6 annual, 30 sick, 3 personal, 120 maternity days. Balances restart each 1 January, and you choose whether unused annual days carry over. The team's balances are on the Reports tab, Leave page.
- Taiwan: the 13 statutory leave types, and annual leave (特休) accrues from the start date by itself: 3 days at 6 months, 7 days at one year, rising with service. Enter the real start date on the Team tab. The team's balances are on the Reports tab, 特休 page.
Worth remembering
Balances count from sent schedules, not from requests
Approving puts the days on the schedule, and they count once that schedule is sent. If a balance looks wrong, first check whether those days are on a schedule that has actually been sent.
