The Payroll tab

Payroll adds itself up while the month runs, from the same schedule: base pay, overtime, social security, net. Then share the payslip on LINE.

Contracts first

No contract, no numbers

Worth remembering

No contract, no numbers, and a closed month cannot be priced later

Attach a contract to everyone in the first month you use payroll. A month that ends without a contract is not paid and cannot be calculated afterwards. Any row without a contract shows an amber warning so you can catch it in time.

A contract is the pay rules for one person. Tap Manage contracts at the top of the tab, build a contract as a template, then attach it to each person, or tap Add contract on the row of anyone who has none.

  • Pay type: hourly, daily or monthly.
  • Overtime: one tap applies Thai legal rates, 1.5x on weekdays and 2x on days off or holidays, or set your own.
  • Social security: 5 percent, capped at 875 baht a month with a 1,650 baht floor, and you choose which half-month it comes out of if you pay twice a month.
  • Attendance bonus, a late penalty with grace minutes, leave quotas per type and whether each is paid, and allowances.
  • When you attach a contract the app asks when it takes effect, and you can back-date it to earlier months. A month that ended before the contract began is not paid, and cannot be priced later.

Two modes

Pay the roster, or pay the clocked hours

Set on the Settings tab under Report Calculation Mode. Schedule based pays the hours of sent shifts, even if you do not use check-in at all. Check-in based pays the hours between real check-in and check-out, and choosing it switches check-in on for your staff at the same time.

In schedule mode, an approved check-out correction does change the paid hours.

The monthly run

Look, adjust, mark as paid

Pick the period at the top: monthly, or half-months 1 to 15 and 16 to end, as set in Settings. Total net sits at the top; mid-month it reads Pay this period with a projection if every shift happens. Each person is one row, tap to see base pay, paid leave, overtime, holiday, bonus, social security, late penalty and net.

Payslip changes, roster does not

The paid hours change; the shift they received in LINE stays as it was.

Add a bonus, a deduction or a note per person per period, with a line the employee will see. Once paid, tap Mark as paid: the period locks and nothing can be edited until you unlock it.

Payslips

Tap Share, pick their chat in LINE

Open the person's row and tap Share Payslip. The app makes a PDF and opens the LINE share sheet so you can send it straight to them. A mid-month payslip shows what has been earned so far, not a projection.

In their app, staff see My Contract: their pay, overtime rules, holiday pay, social security and leave quotas. There is no payslip screen in the app; payslips come only from you.

Rules worth knowing

Four facts that answer most questions

  • The late penalty is deducted automatically, on every day that is late beyond the contract's grace minutes. There is no approval step.
  • WorkCo does not calculate income tax. Net is earnings minus social security minus penalties, plus or minus your adjustments.
  • Editing a contract template does not change the rates of people already on it. Paid-leave day counts are the exception: those do follow.
  • A manager with Reports and contracts can view and add contracts. Editing numbers, adding bonuses and marking a period paid need the Payroll edit permission.

FAQ

Questions people actually ask

This month's numbers look too low.
Check two things: have all shifts been sent, since drafts are not paid, and does everyone have a contract in effect this month? A row with no contract carries an amber warning.
Is Payroll available in Taiwan?
It is opening to self-signup accounts. The Payroll page currently says coming soon, but it has a Set up contracts button you can use today. That matters, because a month that ends without a contract cannot be calculated later.
Can staff see each other's pay?
No. Each person sees only their own contract, and you can hide even that with Show contract to employees in Settings.
