Inviting staff

One link, shared in your LINE group, done

Tap the Invite Employees bar at the top of the Team tab, then the green Share via LINE button. Pick your staff group or a person's chat, and they receive your shop's invite card, with your business name and a Join button. One tap on it and they are in.

Always send the card rather than pasting a bare link. The card carries your branding, opens cleanly on a phone, and does not look like a stray link in a group chat.

Two kinds of link

The invite card

Sent from Share via LINE. The code inside it expires after 12 hours; a fresh one is issued when you open this screen again.

The QR poster

Tap Show QR Code and print it for the back room. This code never expires.

If someone taps a card that has already expired, they see a button to request a fresh invite, and you get a LINE message that opens straight onto the invite bar. Tap Share via LINE again and you are done.

When someone joins

They are in straight away, nothing to approve

The person taps Join on the card, adds the shop's LINE account as a friend, types a nickname and picks a language. That is all. They appear in your Active Team immediately, and you get a message saying who joined.

Inviting is only the first half. Until you build a schedule and send it, they open WorkCo and see an empty screen.

Editing a person

Tap the pencil on their row

  • Display name, and a role with a colour: the colour becomes the ring around their photo in the schedule, so groups stand out. Roles do not set pay; pay lives in Contracts.
  • Fixed days off: the weekdays this person is always off. They fill themselves in each time you send a schedule. Change them and any future shifts on the new off-days are removed.
  • Contract: shows which contract they are on. Contracts themselves are managed from the Payroll tab.
  • Taiwan: add the start date and the working pattern, because statutory annual leave (特休) accrues from length of service.

Worth remembering

Fixed days off fill themselves in, and changing them deletes future shifts

Every time you send a schedule, each person's fixed days off are filled in for you. Change someone's fixed day and any future shift that now falls on the new off-day is removed straight away, so look at next week's schedule again after you change it.

Let someone help, and choose exactly what they may do

A manager does not get everything by default. Each permission opens one tab: Schedule, Team, Leave, Reports, Payroll edit, Break Activity, Invite, Settings. Tick only what you actually want help with; the rest stays invisible to them.

Tap Add Management User at the foot of the list, pick someone, and choose the kind. Manager only gets the management screens but cannot be put on a shift. Manager and employee does both.

Then tick permissions one by one: Schedule, Team, Leave, Reports and contracts, Payroll edit, Break Activity, Invite, Settings. At least one. Each permission opens that tab for them. With several branches you also choose which branches they look after.

Only the owner can make or unmake a manager, and you cannot promote your own row.

Removing someone

They move to Inactive, and every record stays

Tap the bin on their row and confirm. They move to the Inactive list, and every past schedule, attendance and payroll record stays intact. If they ever tap an invite link again, their old record is reactivated.

Want to be on the roster yourself? Tap Schedule me as an employee at the foot of the list. You get your own row in the schedule, can check in, and payroll counts your hours like anyone else's.

FAQ

Questions people actually ask

My employee says the invite does not work.
Invites expire after 12 hours. Open the Invite Employees bar again and tap Share via LINE once more; a fresh code goes out with the card. Or have them scan the QR poster, which never expires.
Can a manager edit the schedule?
Yes, if you ticked the Schedule permission when you set them up. Each permission opens exactly that tab.
If I remove someone, do I lose their old payroll?
No. They only move to Inactive. Past reports and payroll stay exactly as they were.
