The Locations tab

Where people work, the shifts each place runs, and the GPS point for check-in. Set it once and every schedule builds on it.

What a location is

An area inside one workplace, one team

A location is a place people work: the counter, the kitchen, the second floor. The same team can be scheduled across all of them. A separate shop with its own staff is a Branch, covered below.

Tap Add Location, type a name, done. Address and GPS can be added later from the detail screen.

Shifts per location

A shift is a time slot the schedule picks from

Open a location and tap Add Shift. Pick the shift name (Morning, Evening, Middle, Full, Night), set start and end, and the minimum number of staff. If one weekday runs different hours, override that day on its own.

The minimum matters in the schedule: on any day a shift is short of it, the app warns that the shift is understaffed.

The GPS point

Set it if check-in should only work at the shop

On the location screen there are two ways: stand in the shop and tap Set My Location, or tap Search Address and drag the pin on the map until it is right. Then set the check-in radius in metres. The default is 200, and it can be anything from 50 to 1,000.

Staff outside the radius cannot check in: the app says Too far from workplace and shows the distance. A location with no GPS point accepts check-in from anywhere.

Without it, anyone can check in from anywhere, including from home. Set the pin and the radius once; from then on someone outside the radius cannot check in, and the app shows them how far away they are.

Changing and deleting

The app always asks what to do with shifts already on the schedule

  • Change a shift's hours: choose to leave scheduled shifts alone, update from tomorrow onward, or update everything. Tomorrow onward is the recommended choice.
  • Delete a shift: anything already scheduled, including shifts already sent, stays as it is. The shift simply stops being offered for new assignments.
  • Delete a location: its future shifts are removed, today and the past are kept. You can restore the location from Show deleted locations, but the removed future shifts do not come back.

Same team: add a location. Different team: add a branch

Kitchen, counter, second floor, all staffed by the same people: those are locations inside one business. A second shop with its own staff is a branch. Getting this wrong is awkward to undo later, because a branch has its own team, schedule and reports.

A branch is another shop with its own staff, schedule and reports. You add one from the menu on the left, not from this tab, and only the owner can. Switch between branches from that same menu and every tab follows.

If someone from one branch helps at another now and then, do not move them. Borrow them for a shift from the other branch's schedule.

FAQ

Questions people actually ask

Staff cannot check in, it says they are too far.
Open that location and look at the GPS point and radius. If the pin is in the wrong place, drag it, or stand in the shop and tap Set My Location again. For a big site, the radius can go up to 1,000 metres.
Do I have to set GPS for every location?
No. A location without GPS accepts check-in from anywhere. Set it only where you want check-in tied to being on site.
Can I change a shift's colour?
Colours in the schedule are assigned per location automatically. The colour ring around a person comes from their role on the Team tab.
