What it is
The jobs every shift has to do, written down once
Most shops have jobs that repeat every day: cash up, clean the machine, turn off the gas, lock the back door. The Tasks tab lets you write that list once, give each item a time it should be done by, and the system hands a fresh copy to whoever is on shift that day.
The tab has two pages: Today's Tasks, where you watch the day, and Templates, where you build and edit the lists.
Worth remembering
This feature is part of the own Official Account plan
If your business does not have its own OA yet, the Tasks tab still sits in the menu but opens on an explainer page. Want it switched on, or want to know whether the plan fits your shop? Talk to us.
Make a checklist
Name it, add the items, pick the people, pick the days
Open Templates and tap New Task. The first time, the app offers a sample Daily Closing list you can try before writing your own.
What one checklist holds
A name and its items
Each item can carry a due time and a reminder a few minutes before it.
Who does it
Named people, or everyone working at a location that day.
How often
Once, daily, or chosen days of the week.
Required items
Mark an item Required and a warning appears if someone tries to check out with it open.
- Team shares progress: switch it on when any person on shift may tick any item on one shared list. Leave it off and every person gets their own copy.
- Notify me if missed: tick this on an item and you get a LINE message the moment its time passes with the item still open.
- Edit a template any time. Today's and future lists follow the change; past days stay exactly as they were.
What happens each day
The list finds the people who are actually working
Every night the app prepares tomorrow's lists, and only for people who have a shift that day. Anyone off, or on approved leave, gets nothing. Create a template during the day and today's list appears straight away, as long as some items are still ahead of their time.
From the staff side
Check in
Before check-in the list is locked and cannot be ticked.
Tick as you go
The list sits on the Today screen. An item past its time shows Overdue.
LINE reminders
A reminder before each item's time, and another if items are still open near the end of the shift.
Check out
If a Required item is still open, the app asks: Go finish them, or Check out anyway.
Watching progress
Today's Tasks tells you everything in one line per list
Each list is one row: its name, the faces of the people on it, and a verdict, such as 3/5 while it is in progress, Done, Overdue, or Closed without finishing when someone checked out with a Required item still open. Tap a row to see which item was done at what time, and by whom.
Use the arrows at the top to look back at earlier days. You cannot look ahead, because tomorrow's lists do not exist until tonight.
Rules worth knowing
Four facts that answer most questions
Worth remembering
No shift, no list, and ticking works only while checked in
If someone says they see no tasks, check two things first: do they have a shift on today's sent schedule, and have they checked in? Those two answer almost every case.
- Only the owner sees this tab, not managers, and it exists only for businesses set to fixed-location mode.
- Lists are only made for people who have a shift on the schedule that day. No shift, no list.
- Staff can tick only between checking in and checking out. After check-out the day's list is closed to them.
- There is no photo proof or per-item note. The record is which item, when, and by whom.
