The one rule

Until you tap Send, nobody has been told

Everything in the system starts with the schedule. You can assign, change and delete as much as you like: until you tap Send it is all a draft. Your staff see nothing, and no shift reminders go out.

That is useful: you can get it wrong as many times as you need and nobody is disturbed. It is also the one thing that catches people out, because a schedule you forgot to send is a schedule your team never saw.

Three views

What you send depends on where you tap Send

This is the part people get wrong most often. There is one Send button, but it does not always send the same amount. What goes out depends on which view you are looking at when you tap it.

Where you tap Send, and what goes out

Day view

Sends that one day only.

Week view

Sends the whole week you drafted.

Month view

Sends the entire month at once. Fill in every week first, then tap Send here.

One Send button, three different amounts

Day view sends one day, Week view sends the week, Month view sends the month. Before you tap Send, check which view you are in. A schedule you forgot to send is a schedule your team never saw.

The tick

How to see what has already gone out

A shift with a tick has already been sent to that person. A shift without one is still a draft. That is the whole system.

When you change something and send again, only the people whose shifts actually changed get a new message. Everyone else is left alone. The people who do get one still see their whole week or month, so they always have the full picture rather than a fragment.

Time savers

Four things that save you time every week

  • Copy last week pulls last week's shifts in as drafts. Change what is different, then send. Guest shifts borrowed from another branch are not copied.
  • In Week view, tap a person's photo to send just that one person's schedule, for today, this week or this month.
  • Fixed days off fill themselves in when you send, so you are not marking the same people off every week.
  • Running more than one branch: you can borrow someone from another branch for a shift, and add a note to any shift, like a function in the evening or a delivery in the morning.

Tap a person's photo to send the schedule to just that one person

In Week view, tap a person's photo and choose to send today, this week or this month, for that person only. Handy when you changed one person's shifts and do not want to resend the whole team.

Several branches: borrow staff across branches, and put a note on any shift

Someone from another branch can work a shift at yours without moving teams: pick them from the receiving branch's schedule. A note on a shift, like a function in the evening or a delivery in the morning, travels with it into that person's LINE message.

FAQ

Questions people actually ask

If I tap Send twice, does my team get the message twice?
No. Only the people whose shifts actually changed get a new message. If you tap Send again without changing anything, nobody is messaged.
Do my staff need to install an app?
No. They use the LINE they already have, and they join by tapping the invite card you send from the Share via LINE button.
Can I plan a whole month ahead?
Yes. Fill in each week first, then open Month view and tap Send once to send the whole month.
If I delete a shift that was already sent, will they know?
Yes, as long as you send again. Anyone whose shifts changed receives a fresh schedule with that shift gone.
